Booking Conditions

The present document sets out the conditions to which both the client (you) and Expedición 23 de Abril, S.L. (we or us) will be bound once the reservation is made. 

We work under the commercial name Ants on Track with licence number CICL 40-049

 

Minimum numbers policy does not apply, so once a booking is confirmed, we guarantee the trip will run.

 

Responsibility

Expedición 23 de Abril, S.L., does not accept responsibility for death, injury or illness of customers on our holidays. We do not accept responsibility for the state of roads, tracks or paths on our trips. All routes are followed at the rider’s own risk. We will do our best to monitor and report any incident related to the state of the roads. Cyclists must ride and behave in a responsible fashion. Holidays are booked with the understanding that all riders are physically fit and do not have any medical condition which may make physical activity dangerous for them.

 

What about Insurance

We require possession of holiday insurance in orther to book a holiday with us. All travellers must take out an adequate insurance policy before beginning any of our package holidays. Proof of adequate insurance must be provided to be able to confirm the booking. This insurance should cover health and accident (if necessary), luggage loss or damage, departure delay or failure, and trip cancellation.

 

Booking and payments

A deposit of 25% of the full cost of your holiday is required to secure a place on the tour. On receipt of this fee, the customer will be sent a receipt and written confirmation of the tour reservation along with an invoice for the outstanding amount. This must be paid one month before the start of your holiday with us. 

You could use one of the following means of payment:

  • Credit card – customers put through their own credit card payments on our secure site.
  • Bank transfer – please contact us for account details. Transfers must be identified with the name of the customer booking the tour.

The booking form must be signed on behalf of all travellers and sent along with deposits and insurance details.

 

Changes to your original booking

Changes in group composition or length of trip must be notified in writing. We will try to satisfy your request, although you may have to pay for any additional expenses derived from those changes. 

 

Modifications to the itinerary

Expedición 23 de abril, S.L. reserves the right to make changes in the itinerary. In the unlikely event of this happening, the customer will be informed as soon as possible. Any changes made will be of a minor nature. In case of major changes, the own cancellation policy will be applied (see “if we cancel your booking” section further ahead). 

 

In case you cancel your booking

Notice of cancellation must be received in writing. Cancellation charges are as follows:

One month or more                        → Administration expenses 90 €

14 to 29 days                                    → Loss of deposit

One week to 13 days                       → 50% of total amount

48 hours. before arrival to 6 days → 70%

Within the last 48 hours                 → 100%

 

If you see yourself forced to cancel due to circunstancies, please consider that you may elegible to get a refund from your travel insurance company.

 

If we cancel your booking

In the unlikely event that we are forced to cancel your booking, we will make our best to offer a satisfactory alternative. If the offer does not suit you, we will offer the full refund of any amount you may have paid to us before the cancellation.

 

You need a helmet!

In Spain, helmets are mandatory when cycling through interurban roads. We recommend you always to wear a helmet while riding and must ask you to use it whenever it is legally compulsory. We recommend to bring your own helmet, but in case you do not want to carry it around, you could borrow one from us at no extra cost. 

 

Our Bicycles

We offer both trekking bikes and electric touring bikes. Cyclists are responsible for Expedición 23 de abril, S.L. bicycles during their trip and any damage to or loss thereof. Cyclists are also responsible for minor repairs such as punctures. 

Expedición 23 de abril, S.L. will supply bikes in good condition and of the right size for each cyclist.

 

Force majeure

Expedición 23 de abril, S.L. regrets that we cannot accept responsibility for any loss or damage resulting from war or terrorist activities, civil strife, industrial dispute, weather conditions, fire, flood or drought, airport closures, rescheduling of means of transport, or any other eventuality which may delay or extend the holiday and that it is out of our or our supplier’s control.

 

Customer complaints

Expedición 23 de abril, S.L. is working hard to deliver maximum satisfaction and happiness to its clients. Should you have any problems or complaints, please let us know as soon as possible, so that we deal with it inmediately. We do have Complant Forms at your disposal. Besides, customers may be asked to complete a customer satisfaction form when their holiday is over.

 

Entrance fees

No entrance fees to places of interest are included in the tour prices, unless the brochure indicates otherwise.

Transfers

Some transfers are included in tour prices on the understanding that the customer arrives at the time and place previously agreed. If this is not the case, the customer may be liable for the cost of the transfer. 

 

Transport

The client is responsible for organising travel to Spain. In this way it is hoped that the customer will get the best deal possible. Expedición 23 de abril, S.L. will be glad to give advice to the customer on travel arrangements.

 

Accommodation

Expedición 23 de abril, S.L. monitors the standard of its accommodation very carefully and is very grateful for customer feedback. Customers are requested to fill in our survey at the end of each trip and to supply us with both positive and negative feedback if it is felt to be relevant. Any problems should be reported immediately with a view to solving them as quickly as possible

A twin room refers to a room for two people with two beds. A double room is a room for two people with one bed. All rooms have en suite bathrooms and are of a high standard. Accommodation is in hotels and locally graded accommodation.

Every attempt will be made to satisfy a client’s room preference. Clients who have requested a double room may on occasions be given a twin room if availability does not permit this.

On some occasions, clients travelling on the same trip may stay in different hotels. This depends on hotel availability. Every effort will be made to ensure that hotels are of a similar standard.

Prices

Prices include accommodation and continental style breakfast. All prices in our web include I.V.A (Value Added Tax). 

 

Possible Discounts

All discounts are applicable over the trip price for one person in double share. Bike hire and the single supplement will be added after the discount has been deducted.

 

Low/High season prices

Prices are given for high and low season. Those holidays that fall between two seasons will be charged proportionately. Final prices will be confirmed before booking.

 

Brochure accuracy

We have made every effort to ensure the accuracy of our brochure / website. Any variations will be notified to the customer before a trip is booked.

 

Excursions

We do not provide excursions. Expedición 23 de abril, S.L. may organise excursions on your behalf. In this case, the contract is between the customer and the excursion supplier, and not with Expedición 23 de abril, S.L.. Expedición 23 de abril, S.L. can accept no liability for these excursions and cannot guarantee they will take place. Excursions will be subject to availability and to minimum customer numbers.

Luggage

Please note that your belongings are your responsibility. We cannot accept any responsibility for loss, damage or accident involving property. Your travel insurance should cover this.

These conditions and terms of contract and all matters arising therefrom are subject to Spanish Law and to the exclusive jurisdiction of the Spanish courts.
